Charging a Card
Choosing the Method of Card Entry
VPOS supports three methods for entering card information:
EMV chip readers are the preferred method for retail transactions. EMV readers reduce the risk of counterfeit fraud, and may reduce your merchant service fees. Please confirm that your processor supports EMV transactions before using EMV.
MSR, or Magnetic Stripe Readers, are the traditional method for retail transactions. MSR is preferred over manual entry, and is available as a backup method if EMV fails.
Manual entry remains available should you have difficulties with the EMV or MSR methods. Retail merchants using manual entry may incur higher merchant service fees.
Setting the Transaction Type
Choose the appropriate transaction type for your needs:
To settle the charge automatically after your daily Transaction Cut-Off Time, choose Authorize and Capture.
To reserve the requested amount, but allow manual settlement, choose Authorize Only. Until you capture the transaction for settlement, the transaction will remain in the Authorize Only status. Authorize Only transactions left uncaptured for 30 days will expire, and you will need to resubmit the expired transactions to settle them.
To queue an Authorize Only transaction for settlement, choose Prior Authorization Capture. Enter the transaction ID you wish to capture when using this option. Authorize.Net will now settle the amount automatically after your daily Transaction Cut-Off Time.
Entering the Amount
Step 1 Enter the base amount in the Subtotal field.
Step 2 Confirm the Tax is correct, and change as necessary.
Step 3 Confirm the Total.
Using the Card Reader
Step 1 Insert the card into the reader.
If the card does not have a chip, or if the chip fails to read, you will receive an error:
“Could not read the card, please remove the card and press ok to try again.
You may use the integrated stripe reader if the error persists after retrying.
Step 2 Remove the card when the green banner above the Subtotal prompts you to remove it. You will see the prompt after you click Charge.
Entering the Card Information Manually
If your card reader fails, or if you do not have a card reader:
Step 1 Enter the card number. Do not use spaces or dashes.
Step 2 Enter the expiration date, in MMYY format. Do not use spaces, dashes, or slashes.
Step 3 Optionally, enter the customer’s billing ZIP code.
Adding Order Information
You may enter optional fields to help you identify and track orders:
Use Invoice Number to associate the transaction with an invoice number.
Use Customer ID/Code if you assign an ID or code to your customers.
Use Description to describe the products or services covered by the transaction.
Submitting the Charge
When ready to charge the card, click Charge. You will either receive confirmation that the transaction was successful, on the next screen, or you will see an error explaining why the transaction failed.
Confirming the Transaction
If your transaction is successful, you will see a confirmation with the following details:
The merchant name, address, and phone number;
The date and time of the transaction;
The transaction ID;
The authorization code;
The payment method; and
The amount.
If you need to cancel the transaction, click Void Transaction. The transaction will not settle, and the card issuer will release the funds they placed on hold.
Providing a Receipt
VPOS provides both paper and email receipt options:
VPOS will automatically print two receipts – one for the merchant, one for the customer – using the configured printer. Have the customer sign the merchant copy, and retain the signed copy for your records.
To print an additional receipt, click the printer icon on the confirmation screen.
To email a receipt, click the email icon on the confirmation screen.
